Reserving and using IT Equipment

  • When reserving equipment for meetings using technology
    • Be very clear on exactly what technology you require
      • Video Teleconference (VTC)
        • Audio and video
        • Live video of participants - sending and receiving
        • Need flat panel or room projector to view?
        • Currently it is easy to set up with other Forest Service units - much more difficult for non-FS to participate
        • VTC that can be used in the Northern Rockies Coordination Center building ("VC"), including NRCC conference room ("N") and Missouri Room ("M"), can only conference with 1 other unit - more than that will require a bridge to be set up -- see below
        • VTC that can be used in the main NRTC building ("VT") -- including "P" and "B" -- can conference with up to 3 other units, any more beyond that will require a bridge to be set up -- see below
      • eMeeting/Webinar
        • Video programming (PowerPoint, for instance) on computer over the internet - audio usually over telephone
        • Need flat panel or room projector to view?
        • Need conference telephone?
      • Teleconference
        • Audio over conference telephone
  • When reserving video teleconference equipment
    • You may request initial set up assistance of the equipment only, NRTC cannot supply a technician for the duration of your session
    • You should allow 2 hours for setting up and testing the VTC equipment before your session commences -- this time is in addition to room setup you may want to do with tables and chairs, etc.
    • The requesting party must have knowledge of the equipment to maintain operation of the VTC equipment (NRTC does not have the capability to provide a operator for the VTC equipment for the duration of your video teleconference.)
    • The user is responsible for making arrangements for use of the bridge, etc. Information on reserving the VTC bridge etc can be accessed at the FS Video Teleconferencing Service Desk web site
